Overview
This guide provides step-by-step instructions for setting up and using the Cvent Salesforce App as an external data source to personalize attendee registration for an event. It covers topics such as setting up OAuth connection, associating Salesforce OAuth with an event, and setting up the Cvent Salesforce App as an external data source. The guide also explains how attendee registration works with the Cvent Salesforce App, including how basic information submits and how contact information populates on the registration form.
External Data Source
When your known contact, lead, or person account registers for an event, you can personalize their registration experience based on data available in Salesforce. You can use the Cvent Salesforce App as an “external data source” to retrieve the contact information for your attendees and fill it in for them during registration. The Cvent Salesforce App retrieves the contact information using your Salesforce record matching criteria. The system then populates the info onto the registration form based on those Salesforce field mappings.
Set Up OAuth Connection
Refer to the instructions to connect a Salesforce org to the Cvent application. This allows Cvent to make API calls to Salesforce on behalf of the user who establishes the connection. Make sure your Admin performs this step.
Associate Salesforce OAuth with an Event
Once the Salesforce OAuth setup occurs at the administrator level, you can associate it with your event.
-
In Cvent, go to Event > Integrations > Salesforce App.
-
If you don’t have a configuration, create one.
-
If you have an existing configuration and want to use OAuth, click Edit.
-
Select the OAuth configuration you want to use. Click Save. The system saves the selected OAuth for your event.
If you edit the event and try to remove the selected Salesforce OAuth configuration, a warning appears on the page. If you have the OAuth associated with an event, but the OAuth between your Cvent and SF accounts remains in a “Disconnected” state, a warning for fixing the OAuth connection at the administrator level appears.
Set Up Cvent Salesforce App as an External Data Source
To set up the Cvent Salesforce App as an external data source, go to Event > Registration > Registration Process > Open Site Designer.
-
Click the cog next to the Default Registration path.
-
Enable the setting “Autofill the registrant’s information if they arrive from a public weblink”.
-
For “External Data Source,” select Cvent Salesforce App.
The Cvent Salesforce App is only available if your event has an OAuth. You’ll then see the name of the OAuth you set up earlier. This name is read-only. Apply the settings and publish your changes.
Attendee Registration
During registration, once an attendee provides their basic information on the Personal Information page and clicks the Next button:
-
The basic information provided by the attendee gets submitted to the Cvent Salesforce App to find a match.
-
Additional contact information populates on the registration form if a matching record is found.
-
If no match is found, no additional information will be populated.
