Overview

This tool is used to migrate from the old Cvent Events App for Salesforce (version 3.2.8 and above) to the brand new Cvent Salesforce App (version 4.0 to 5.5).

If you are migrating to versions higher than 5.5, please first migrate to version 5.5 using the migration tool and then manually upgrade to the latest version.

What’s The Benefit of Using The Migration Tool Vs Installing The New App Manually?

Using the tool, you can automatically transfer the following:

  1. Existing links between Cvent event attendees and Salesforce contacts and leads. This allows you to keep track of all the events your leads or contacts attended. If you don’t use the tool, these links will be established using the record matching criteria you configure after installation.

  2. Permission set assignments for Salesforce users. If you don’t use the tool, the permissions set can be manually assigned. Refer to assign user permissions to learn more about the user permissions in the new App.

  3. Attendees who have nominations in “Approved” or “Rejected” status. If you don’t use the tool, attendees still in the process of being nominated and the corresponding nomination requests will be lost.

Important Notes

Here are few things to keep in mind before you start migrating:

  1. You need to be on version 3.2.8 or above to use the migration tool. If you’re below that version, there are two ways you can switch to version 5.5.

    1. Upgrade to version 3.3 and then use the migration tool to upgrade to version 5.5. Then manually upgrade to the latest version of the App. Choose this option ONLY if you want to preserve certain data you currently have in the App.

    2. Manually install the latest version of the App by following the installation guide and uninstall the currently installed app. This approach is recommended if preserving certain data in your current version of the App is not critical.

  2. While the tool will help you automatically transfer your configurations and data from the old App, there are some manual steps in the process.

    1. Steps with “Complete this step” buttons will be completed automatically as soon as you click the button. Make sure to wait for the green check mark and also verify the error logs before proceeding to the next step.

    2. Steps with “I have completed this step” buttons require you to take an action in the new App. Please click this button only after you have followed the instructions and verified that the step was completed without any errors.

  3. The steps need to be performed in the given order to avoid any errors. Please complete the steps one by one in the migration tool and check the error logs under Cvent Migration Logs after every step.

  4. The new App is called “Cvent” and the old App is called “Cvent Events.”

  5. After completing the migration to version 5.5, manually upgrade to the latest version of the Cvent SF App using the installation link.

What Data Is Lost When You Migrate From The Old App?

  1. The new Salesforce app does not support the contact “Date of Birth” field due to security concerns. Any configuration that uses the Cvent contact “Date of Birth” field in the old App will be ignored during migration.

  2. The new Salesforce app does not support the attendee “Email Status” field. This data will be ignored during migration. In the old App, the status value is available only for attendees who were invited from Salesforce. The new App will support the email statuses for all attendees regardless of where they were invited from.

  3. Attendees in nomination approved or rejected statuses will be migrated with the tool but the nomination requests will be lost.

Prerequisites

  1. The app offers three license types: Data Connector, Standard, and Premium. Before using the migration tool, please make sure you know your license type. Feel free to contact Cvent support if you’re not sure.

  2. If you use nominations, please mark all nominations as approved or denied. Any pending nominations will be lost.

  3. You need to be a Salesforce System Admin with the Cvent Custom Fields permission set assigned to perform the migration.

Steps

  1. Verify that you are on Cvent Event App version 3.2.8 or 3.3. If not, upgrade to 3.3 by using this link.

  2. Install the migration tool by using the links below

    1. Salesforce production region

    2. Salesforce sandbox region

  3. Install the Cvent Salesforce App version 5.5. Do not configure it at this point.

    1. Salesforce production region

    2. Salesforce sandbox region

    3. For a My Domain specific URL, append the following to the end of your URL <mydomain url>/packaging/installPackage.apexp?p0=04t6g000008OW08AAG

  4. Launch the migration tool App and stay on the Migration Steps page.

  5. Follow the steps in the given order to ensure a successful migration. Please check the logs under Cvent Migration Logs after every step to make sure that the errors get resolved as you move through different steps.

  6. Finally, upgrade to the latest version of the Cvent Salesforce App by using the installation link provided here.
