During an event, especially for virtual and hybrid events, many technologies and systems can be used to deliver the attendee experience. Planners and marketers need access to all the attendee interaction data in one place to get a 360-degree view of their attendees and perform appropriate follow-ups with them.

External attendee activities let you store the interaction data outside Cvent to fully understand the attendee’s journey.

Creating External Activities

To get started, you can create External Activity categories in Cvent, then add external activity data to your registrants. External activities can be created via the REST API or manually.

To create external activities via REST API, leverage the Add External Activity endpoint. You can confirm if an External Activity was created correctly using the List External Activity Metadata API.

Planners can create external activities manually by doing the following:

  1. Navigate to Admin > General > External Attendee Activities.
    Note

    If you don’t see this option in Admin, reach out to your Cvent representative to have it enabled.

  2. In the top right, click Create Activity.
  3. Fill out the basic information fields. Give the activity a name and provide a description for context.
  4. Under field settings, choose the Object Type and add any fields you need.
    • Cvent Object Type. Decide what part of your event the activity is associated with. Does the activity relate generally to your event? Or does it closely relate to your event sessions, appointments or exhibitors?
    • Object ID, Event ID, Attendee ID. These fields aren’t customizable. These three fields relate your activity data to a specific attendee, event and appointment/session/exhibitor.
    • Add Fields. You can add more fields to track important metadata related to the activity, like who the attendee met with or what topic they were interested in.
  5. Click Save.

After a planner has created the External Activity, you can confirm if an External Activity was created correctly using the List External Activity Metadata API.

External Activity Limitations

  • When posting attendee activities, more fields can be included and defined on the fly. There’s no check in the API to validate the fields.
  • Users can define 50 external activities.
