Cvent Salesforce App - 8.5 Release

We’re excited to announce the release of Cvent Salesforce App v8.5.

Note

Upgrading from version 8.3 or below requires you to perform a one-time manual past-dated event data sync to ensure all of the events have Status filled in.

Upgrading from version 7.2 or below requires you to reconnect to your Cvent account to avoid any interruption with data syncs. Please read through the NOTES below for the steps to be performed. You can also find more details about upgrade considerations.

  • Sync attendee data on a per-event basis: sync attendee data manually for a given event or list of events instead of the entire account. Syncing for a given list of events reduces the number of records trying to sync at a single time.

  • Sync invitation list info to Salesforce: sync the invitation list name and stub from Cvent to Salesforce. This information stores directly on attendee records, enhancing data consistency and enabling more effective tracking of attendee details.

Cvent Salesforce App 8.4

  • Update attendee record with Cvent contact details: Map Cvent contact standard and custom fields to attendee fields. This helps prevent updates or overwrites to the Salesforce contacts, leads, and person accounts linked to an attendee.

  • Sync more attendee activities to Salesforce: Sync new attendee activity types to Salesforce:

    • Viewed an Event Ad
    • Clicked an Event Ad

Cvent Salesforce App 8.3

Release Date: September 19, 2024

We’re excited to announce the release of Cvent Salesforce App v8.3.

Note

Upgrading from version 7.2 or below requires you to reconnect to your Cvent account to avoid any interruption with data syncs. Please read through the NOTES below for the steps to be performed. You can also find more details about upgrade considerations.

Salesforce Record Field Update Options: Decide if a Contact, Lead, and/or Person Account field mapping should be applied to new Salesforce record creation, existing record update, or in both cases.

Sync Event and Registration Statuses to SF: Events have both an Event Status and an Event Registration Status. We have updated the app to reflect the following Event statuses:

  • Upcoming
  • Ongoing
  • Completed
  • Cancelled
  • Archived

Event Registration statuses already exist with the Cvent Salesforce App and include:

  • Active
  • Cancelled
  • Closed
  • Completed
  • Pending
  • No Registration Required

Postpone Connection Suspension on 24 Hours With this update, the Cvent SF app will retry to resume the connection with Cvent on an automatic data sync basis during the 24-hour interval to avoid disconnection. This enhancement is aimed to avoid disconnections caused by third-party service outages such as Okta (06/23/24) or CrowdStrike (07/19/24) incidents.

Allow Filtering on Invitation List in Attendee Sync

Planners/subscribers can now set up Attendee Sync on the Invitation List as well, in addition to Registration Type and Responded Through from within the Cvent platform.

NOTES:

  • You’ll need to reconnect to your Cvent account if you are upgrading from version 7.2 or below. After installing 8.1 and going to the Cvent Admin tab, it is expected that you will see an error toast and the connection is paused with “Session Expired” status. Choose the Cvent environment and click on the connect button. Use your Cvent account credentials upon redirecting to the Cvent login form. Once redirected back to SF, select the same configuration you used before (this can be found in the connections list under the Configuration ID; the one displayed in the connection list is the most recently used).

  • You’ll need to manually update metadata if you are upgrading from version 7.0 or below. (New installations don’t require this manual update.) Go to Setup > Visualforce Pages and open App Configuration Page in preview mode. Find the Update Metadata after Package Upgrade section and click the Update Metadata button.

  • You’ll need to retrieve Cvent fields if you’re upgrading from version 5.6 or below. Go to Cvent Admin in the app and click Retrieve Cvent Fields button. If you do not use Cvent custom fields, this step is unnecessary.

Cvent Salesforce App v8.2

Expected Release Date: 19 June, 2024

Cvent Salesforce App 8.2 introduces features to reduce unneeded data syncs, more Cvent Contact fields, and improved visibility on how Cvent and Salesforce records are matched. Important Features of this release:

  • Event Filtering: Salesforce Administrators face instances when outdated or unneeded data syncs for events in statuses that no longer need to sync to the app. To limit this, a new Cvent configuration allows for filtering on Event statuses.
  • New contact fields: There are 8 new contact fields added to be synced over to the Salesforce App: LinkedIn URL, Twitter URL, Facebook URL, Profile Picture, Headline, Biography, Pronouns, and Contact Website.
  • Record Matching Details: Details were added to the Attendee Temp Record to determine which matching criteria matched the Cvent Attendee to the Salesforce Contact/Lead.
  • Cvent sandbox retirement: With the migration to Cvent product testing accounts and the retirement of the sandbox environment, the Cvent Sandbox option has been removed from the app’s Admin tab.

Version 8.1 Release

We’re excited to announce the release of Cvent Salesforce App v8.1!

  • Bulk nomination approval redesign: A revamped user experience for bulk nomination approval. This update significantly enhances the summary page for bulk nomination actions, including approval, rejection, and cancellation. Easily track the success of each nomination action and view failure reasons where applicable, ensuring smoother management of nominations.

  • Hierarchical record matching: Configure up to 6 levels of matching across all objects you want to match with, enabling precise matching and avoiding multiple matches. With this approach, if a match is found on a higher level, subsequent levels are automatically skipped, streamlining the matching process for enhanced accuracy.

  • Blank Cvent contact fields skip on record matching: The record matching process now intelligently skips blank Cvent fields configured for matching, reducing the likelihood of multiple matches with Salesforce records containing blank values.

NOTES:

  • You’ll need to reconnect to your Cvent account if upgrading from version 7.2 or below. After installing 8.1 and going to the Cvent Admin tab, it is expected that you will see an error toast, and the connection is paused with “Session Expired” status. Version 8.0 Release

Released: Nov 29, 2023

We are excited to announce the release of Cvent Salesforce App v8.0!

ACTION REQUIRED: This update contains a breaking change which requires you to reconnect to your Cvent account upon upgrade to avoid any interruptions with data syncs. See Upgrade Steps.

What’s New

  • Connect to your Cvent account using OAuth 2.0: This update moves the App to the standard OAuth 2.0 and increases the integration security. After upgrading, please reconnect the App to your Cvent account.
  • Use alternative record matching when syncing data to Salesforce: Now you can choose what matching approach suits you better. You can maintain a 1:1 relationship between a Salesforce record and a contact from Cvent Address Book, or maintain an event-level only relationship between a Salesforce record and a Cvent attendee.
  • Sync Opted-Out field value change from Cvent to Salesforce and from Salesforce to Cvent: You can now set up the integration in a way that this change is synced from one system to another.

Notes

  • If you have upgraded the App from version 7.2 or below, you’ll need to reconnect to your Cvent account. Go to Cvent Admin panel, choose the Cvent environment, and click on the Connect button. Use your Cvent account credentials upon redirecting to the Cvent login form. Once redirected back to Salesforce, select the same configuration you used before. This connection can be found in the connections list by “Configuration ID” - it should be the same as for the most recent connection with the “Session Expired” status.
  • If you have upgraded the App from version 7.0 or below, you’ll need to manually update metadata (new installations don’t require this action). Go to Setup > Visualforce Pages, open “App Configuration Page” in preview mode, and find the “Update Metadata after Package Upgrade” section. Click the Update Metadata button.

Version 7.2 Release

Release Date:  Jul 12, 2023

We’re excited to announce the release of Cvent Salesforce App v7.2!

Set up the automated invitation of new campaign members: choose which campaign member statuses should trigger new campaign members to be automatically invited to, or added to an invitation list of a Cvent event.

This automates the invite process, further helping sales and marketing stakeholders influence the attendee list and cut down the manual work for event planning and marketing teams.

Set the pagination limit for event and attendee data sync: decrease the pagination limit of event and attendee data synchronizations to avoid “Apex heap size” error due to the number of Cvent custom fields.

Sync more attendee activities to Salesforce: Uncover more of the attendee journey, whether in person or virtually, to salesforce stakeholders to better market and speak to customers and prospects.

Version 7.1 Release

We’re excited to announce the release of Cvent Salesforce App 7.1!

Sync invitation email status: Choose if you want to sync the invitation email status, such as Invitation Sent, Invitation Opened, and Invitation Bounced, and map them to campaign member statuses or use them in custom automation.

Version 7.0 Release

Release Date:  Feb 28, 2023

We’re excited to announce the release of Cvent Salesforce App v7.0!

Configure the application with the help of the setup wizard: use a step-by-step guide to connect, set up and sync your Cvent Salesforce App.

Control the app features availability: control the app features availability via toggles on the configuration page. Keep the app simple to not distract your users with the features they are not interested in.

  • As part of this initiative, we deprecate out-of-the-box custom fields on both Task and Opportunity objects. For more details, refer to the “Salesforce Tasks and Opportunities” section in the user guide.

Sync Cvent picklist as a text field to Salesforce: choose if you want to sync the Cvent picklist as a regular text field into Salesforce and avoid picklist field restrictions such as the maximum picklist options count.

Sync personalized registration URLs to Salesforce: prepopulate mapped contact information into the registration form when using a Salesforce (or other Salesforce-integrated systems) email using personalized registration URLs. The URL is stored in the Attendee object and is available after a Salesforce contact/lead has been added to a Cvent invite list.

Sync UTM and external attendee activities to Salesforce: Sync new attendee activity types to Salesforce:

  • Tracked event website page visit
  • External activity for event
  • External activity for session
  • External activity for appointment
  • External activity for exhibitor

  • Real-time Attendee Sync consumes Salesforce API calls and should be used only for specific status changes when absolutely required.



Version 6.4 Release

Release Date: Oct 7, 2022

We’re excited to announce the release of Cvent Salesforce App 6.4!

Sync participation substitution data to Salesforce: The Cvent Salesforce App now supports participant substitution. Substitution information is synced to Salesforce as a part of the regular attendee data sync. The original registrant will now have a Substituted status, the associated Substituted person is associated to the original’s attendee record, and all further attendee activities is associated with the new attendee. With this update, Salesforce users will better understand attendees’ journeys and can take more informed actions.

Update previously created opportunities on registration update: The App can now create or update opportunities when attendee fields change. The most common use case for this feature is those wishing to track how much an attendee spends on registration and items sold through Cvent, in line with other opportunities and purchases tracked in Salesforce. The App can create an opportunity for a paid event and populate the amount ordered or paid as the opportunity amount. If the registrant alters their registration to upgrade or downgrade their order, the App will reflect those amounts within the opportunity.

Assign an opportunity’s primary campaign source dynamically: You can now choose if you want an opportunity to be linked to a specific campaign, the campaign most recently linked to the event, or not to be linked. This makes it easier to attribute newly created/updated opportunities to the appropriate campaigns and track the influence of events on closed opportunities.

Allow requester to cancel a nomination request: Requesters can cancel nomination requests if they haven’t been approved or rejected. This change allows more flexibility as invitees’ availability changes, and reduces the approvers’ approval list, all while keeping the nomination history for historical reference.

Map Cvent and Salesforce fields of different types: The App now automatically converts some of the data being synced between Cvent and Salesforce fields of different data types. Thus, you can now map numeric Cvent fields to Salesforce string fields without issue, and many more. This will help reduce data sync errors and allow users to map Cvent formatted custom fields to any Salesforce fields successfully.

Version 6.3 Release

Release Date: July 27, 2022

We’re excited to announce the release of Cvent Salesforce App v6.3!

**Lightning Web Security compatibility: **With data security a top priority, we have updated the app to be compatible with Lightning Web Security, the new Salesforce security standard.

Choose which Cvent custom fields to sync into SF: You can now choose which Cvent custom event and contact fields to sync to Salesforce. This will reduce clutter, limit storage concerns, and ensure that only the required essential fields are synced.

Customize condition logic for record matching: The app’s previous versions allowed only AND criteria when matching records. With this update, you can create OR criteria, allowing more flexibility, increasing the likelihood of finding matched Salesforce contact/lead/person account records, and decreasing the likelihood of Cvent creating duplicates.

Choose the direction data flows with field mapping is applied to: Previous versions of the app defaulted to bi-directional sync of mapped fields. With this release, you can now choose the direction fields are mapped: only Salesforce to Cvent; only Cvent to Salesforce; or bidirectional. An example of this utility is you can now insert fields into Cvent, but changes to the field in Cvent will not be overwritten in Salesforce.

Version 6.2 Release

Release Date: June 7, 2022

We’re excited to announce the release of Cvent Salesforce App v6.2!

**Event feedback survey: **Marketers can now access all responses to the event feedback surveys in the Salesforce App and leverage the data for post-event follow-up using SF tasks, cases, etc. This feature is for the Premium license.

**Matrix and Matrix rating questions are available for survey programs: **Matrix and matrix rating questions are now supported in the survey programs in Salesforce App, both for stand-alone and event feedback surveys.

**Event recommendations from Cvent: **Sales users can now view the list of recommended events for their prospects & contacts and add them to the event from within the new “Recommended Events” widget. The feature is available for standard & premium licenses, only in SF lightning mode.

**Use multiple currencies: **The Cvent accounts with multiple currencies are now fully compatible with Salesforce currencies and can be supported in SF tasks, opportunities & other objects.

**Assign new leads to a Salesforce queue: **Newly created leads can now be assigned to a Salesforce queue. This feature is in parity with the lead owner assignment offered by Salesforce.

Version 6.1 Release

Release Date: Feb 15, 2022

We’re excited to announce the release of version 6.1 of the Cvent Salesforce App!

**Specify a default value for any mapped field: **Default values can be used for any mapped field in the Salesforce App, regardless of its field type. The Salesforce App uses the default value when syncing blank/null data from Cvent to Salesforce.

Set up field mappings to update SF records with static values: You can now leave Cvent fields blank during the field mapping process. Add a default value to have that value filled into an SF record during data syncs.

Sync Cvent custom fields into SF long text areas: Previously, Cvent custom text fields were replicated as a regular text field in SF, which had a limit of 255 characters. You can now replicate custom fields as long text areas in SF to store more than 255 characters. Note: Remember that Salesforce can’t use long text areas in filters, such as record matching criteria or event visibility setup.

Get new attendee activity types from Cvent: The following attendee activity types will now be synced to SF:

  • Viewed exhibitor details
  • Opened exhibitor social link
  • Opened exhibitor document
  • Opened exhibitor weblink
  • Joined exhibitor virtual booth
  • Inbound lead created
  • Played video
  • Visited Attendee Hub
  • Downloaded speaker document

See which event invitees/registrants have been deleted from the Cvent address book: A new “Cvent Contact Deleted” field indicates if Cvent contact has been removed from the address book. Use this field In field mappings to track this information in SF contacts or leads.

  • You’ll need to manually update metadata if you’ve upgraded the app from version 5.1 or below. (New installations and upgrades from above 5.1 don’t require this manual update.) To do so, go to Setup > Visualforce Pages and open “App Configuration Page” in preview mode. Find the “Update Metadata after Package Upgrade” section and click the “Update Metadata” button.
  • You’ll need to retrieve Cvent fields if you’ve upgraded the app from version 5.6 or below. To do so, go to Cvent Admin and click the “Retrieve Cvent Fields” button. This step is not needed if you don’t use Cvent custom fields.



Version 6.0 Release

Release Date:  Feb 5, 2022

**Cvent surveys **are now available in the Cvent Salesforce App!

  • Create survey programs in Salesforce link them to surveys in Cvent.
  • Set up data transfer settings and store your survey data in Salesforce objects.
  • Sync contact, custom contact, respondent, and answer data from Cvent
  • Sync survey data on a per-program basis.

The survey program lets you perform the following:

  • **Include questions for data transfer: **Choose the survey questions whose responses must be transferred to Salesforce. As responses come in, answers will automatically be created in the Survey Answers object for the questions selected here.
  • **Create a new record in Salesforce: **Choose this option to create a new record in Salesforce for each response submitted in the Cvent survey. Customers typically use this for lead generation, case logging, task creation, or creating records in a custom object whenever a response is submitted. You can also apply filters to create records only for those responses that meet the specified criteria.
  • **Update an existing record in Salesforce: **Choose this option to update an existing salesforce record with the response sent from Cvent. Customers typically use this configuration to map the ratings and feedback submitted back to the salesforce record like a case for a case-closed survey.
  • Sync survey data on a per-program basis: Open the program you want to sync the data for and start the sync by clicking the “Sync Respondent Data” button. Respondents and answers for this program only is retrieved from Cvent. The rest of the programs in your org won’t be affected.

Notes:

  • Installing this app will not affect your Inquisium App for Salesforce. The programs in Inquisium App will continue to work as expected without any interruption
  • You’ll need to manually update metadata if you’ve upgraded the app from version 5.1 or below. (New installations and upgrades from above 5.1 don’t require this manual update.) To do so, go to Setup > Visualforce Pages and open “App Configuration Page” in preview mode. Find the “Update Metadata after Package Upgrade” section and click the “Update Metadata” button.
  • You’ll need to retrieve Cvent fields if you’ve upgraded the app from version 5.6 or below. To do so, go to Cvent Admin and click the “Retrieve Cvent Fields” button. This step is not needed if you don’t use Cvent custom fields.



Version 5.6 Release

Release Date: Oct 5, 2021

We’re excited to announce the release of version 5.6 of the Cvent Salesforce App!

Automatic campaign management: Now you can automatically create or update SF campaigns for your Cvent events.  Set up Cvent data mapping to automatically populate campaign details, the campaign members’ details and define member statuses.

Manage nomination notifications: You now have flexibility to manage automatic email and chatter notifications during the nomination process.

Support for new Cvent event & attendee level fields: Access the information about your virtual, hybrid and in person event format and attendees in SF. The SF app now synchronizes the event field ‘event format’ and attendee fields for ‘registration path’ &  ‘attendee format’.

NOTE: If you’re upgrading from an older version (5.1 or below), please ensure you get the latest metadata. Salesforce admins can do this from the Cvent App Configuration page after the app is upgraded.




Version 5.5 Release

Release Date: July 19, 2021

We’re excited to announce the release of version 5.5 of the Cvent Salesforce App!

Sync Cvent event question answers: Map Cvent event question tags with SF attendee custom fields to keep track of event question answers right in attendee record details in SF.

SF app as “External Data Source”: Now SF app can be configured as an external data source to retrieve contact information for your attendees during the registration for an event.

Support for CCPA “Do Not Sell” info: Now SF app retrieves the CCPA “Do Not Sell” status, requester, and requested date from Cvent, so that you can use this info for mapping with your SF records. Note that pushing this data from SF to Cvent is not supported.

Support for Cvent contact “Prefix” field: Now the SF app retrieves contact prefixes from Cvent, so that you can map it with your SF records. In addition, you can push prefixes from SF into Cvent as a part of invitation and registration flows.

Support for new Cvent attendee-level fields: Now the SF app synchronizes additional attendee info, such as:

  • Responded Through
  • Reference ID
  • Unsubscribed From Event
  • Event Check-In Date
  • Group Leader
  • Group Confirmation Number
  • Internal Note

NOTE: If you’re upgrading from an older version (5.1 or below), please ensure you get the latest metadata. Salesforce admins can do this from the Cvent App Configuration page after the app is upgraded.




Version 5.4 Release

Release Date: June 10, 2021

We’re excited to announce the release of version 5.4 of the Cvent Salesforce App! This release mainly includes technical updates.

**Lead conversion flow update: **When an SF Lead is converted to a contact, the corresponding attendee’s nomination and attendee activity records are now re-assigned to the contact. This allows you to keep all attendee data with the single associated SF record.

Picklist dropdown optimization: When defining filter conditions in the SF App configurations (like for tasks, event visibility, campaign member invitation etc), the picklist field value selection drop down is now optimized to support large number of values. This prevents the browser from getting into an unresponsive or frozen state.

**Optimization during Attendees sync: **A few technical updates are made to improve the efficiency and performance when syncing attendee data from Cvent to SF.  This also helps in avoiding the “CPU timeout” error.

We’re excited to announce the release of version 5.3 of the Cvent Salesforce App!

Support for Salesforce mobile app: Now you can manage event invitations and nominations on your phone via the Salesforce native mobile app. Refer to the following link for device operating system and version requirements.

Please note Cvent Admin and campaign management flows are not available in the mobile app.

Push data into Cvent custom fields upon invitation: Mapping for Cvent custom contact fields now gets enforced whenever an invitation is sent.

Keep in mind that custom fields are processed all at once, which means an error with one field leads to all custom fields failing to update.

Personalize invitation email sender: Now you can personalize sender details (like the From name) for an invitation email you’re sending to a Salesforce contact. This allows you to send invitations on behalf of a Salesforce contact’s representative.

Delegate nomination approval to someone else: Cvent admins can now reassign a nomination from one approver to another for review. That is especially helpful when a decision maker becomes inactive, which would otherwise cause the nomination to be permanently stuck in Pending status.

Version 5.2 Release

We’re excited to announce the release of version 5.2 of the Cvent Salesforce App!

Support for up to 120 characters in “Source Id” field: Now you can use 120 character Source Ids. Note, that using Source Ids with more than 100 characters on versions 5.1 and below will lead to the synchronization failure for the target attendee.

Create Task & Opportunities based on attendee’s field conditions: Now you can use all attendee-level fields in conditions for dynamic creation SF tasks and opportunities.

Extend task due date configuration: Now you can put in 0 as the activity date rule value to set task due date the same date as creation.

Create Opportunities with dynamic close date configuration: Get more flexibility in configuration of automatic opportunity generation. Specify a certain number of days after creation as a close date to manage opportunity lifecycle more granularly.

Assign record owner as a nomination approver: Get more flexibility in approval process configuration. Assign prospect’s and associated account’s owners as nomination approvers.

Support for multi-select picklist and regular text area fields in conditions: Use multi-select picklists and regular text areas in conditions for event visibility, task & opportunity configuration, and campaign members filtering.




Version 5.1 Release

We’re excited to announce the release of version 5.1 of the Cvent Salesforce App!

**Support for Nonprofit Success Pack and Education Data Architecture: **The Cvent Salesforce App is now compatible with the NPSP and EDA account models, allowing you to create new Salesforce contacts without assigning them accounts.

For these account models, you can instead let Salesforce or other custom logic decide how to assign newly created contacts.

Send invitation automatically after nomination gets approved: You can now automatically send invitations to prospects whenever nominations are approved by all decision makers. Previously, prospects with approved nominations had to be invited manually.

**Nomination comments: **Requesters and approvers can now add comments on nominations. In addition, Salesforce admins can set up templates to help these stakeholders add relevant comments throughout the nomination process. Admins can also make comments required or optional.

Use dynamic tags in Tasks & Opportunities configurations: You can now add tags to tasks and opportunities configurations to dynamically show relevant data when tasks and opportunities are created. Please note that existing tasks and opportunities won’t be updated if the data in the tags is modified later.

**Create Tasks & Opportunities in case of multiple matches: **You can now create tasks and opportunities in case of no match, single match, multiple matches, or any combination of these three scenarios to handle your business processes more granularly.

Use Salesforce IDs, references, and regular text areas in field matching configuration: More field types are now available for record matching between Cvent contacts and Salesforce objects. You can now match records using ID, reference, and text area Salesforce field types.




Version 5.0 Release

Sync Attendee Activities

Your Salesforce users can now access information about digital and physical attendee interactions throughout the lifecycle of your event, providing them with valuable insight about their prospects.

This includes:

  • Session enrollment and participation
  • Appointment statuses
  • Exhibitor booth scans using LeadCapture
  • Event feedback submissions
  • Email delivery status and click-tracking

Data related to these activities can also be passed to Salesforce and used to trigger automatic task creation for Sales follow-up.

**Sync Sessions: **Track Cvent sessions details and participation information with the help of campaigns and campaign members right inside Salesforce.

**Use Salesforce Formula Fields in Mappings: **You can now include Salesforce formulas in field mapping configurations for contacts, leads, and person accounts. Please note these mappings will only be used for data sent to Cvent, not for updating records in Salesforce.

Match Only with Desired Objects: You no longer need to set up field matching for objects you aren’t going to use as prospects. This means:

  • If matching is not specified for an object, it is skipped.
  • If matching is not specified at all, the “No Match” rule is enforced for all new Cvent contacts.
  • Once a Salesforce prospect is tied to a Cvent contact (as a result of an invitation, registration, or attendee sync), it is handled according to the “Single Match” rule.



Version 4.3 Release

We’re excited to announce the release of version 4.3 of the Cvent Salesforce App!

Support for Person Accounts: Sync your Cvent contact data with SF person accounts. Match with existing person accounts. Create a new ones in case of no match. Nominate/Invite/Register person accounts to Cvent events. Note: Requires SF person accounts feature to be enabled.

No need to specify Account fields matching if you don’t want to: We removed “Account” table from the fields matching section. Now it’s required to specify an account fields matching only in case you want the app to create a new contact and assign it to the matched SF account.

Long/rich text areas available for field mapping: You can now use long/rich text area type fields in your field mapping configuration.

**Support for Salesforce Professional Edition: **The Cvent application can now be installed and used for Salesforce Professional Edition. For this edition, there are a few platform limitations:

  1. Jobs scheduling is not supported. This means that data syncing and purging can only be triggered manually. They can’t be scheduled and performed automatically.

  2. Validation of asynchronous process is not supported. The app is supposed to let you know if you try to perform a sync before a previous sync completed. This is done in order to avoid race conditions and data discrepancy. However, this type of validation is not supported for Professional Edition. Users with this edition will need to go to Setup > Apex Jobs to check whether any Cvent asynchronous jobs are in progress before starting a new one.




Version 4.2 Release

We’re excited to announce the release of version 4.2 of the Cvent Salesforce App!

  • **Toggle for retrieving Cvent custom fields: **You now have control over whether Cvent custom fields can be transferred to the Salesforce app. In the app configuration, admins can toggle off the “Retrieve Cvent Fields” feature so those fields don’t affect your Salesforce organization’s data model.
  • Limit record types for record matching: Keep certain Salesforce record types unaffected by Cvent event and contact data.** **You can now limit which record types are included in account, contact, and lead matching with Cvent contacts. You can also choose which record types is used for new Salesforce contacts and leads created from Cvent.
  • **Sync guests: **Now all primary registrants and guests can be synced to Salesforce so that you can keep track of everyone coming to an event. In addition, the app now lets you track the association between a primary registrant and guests. Note: Only guests in your Cvent address book can be synced.
  • **Invite campaign members to any event: **You can now invite campaign members to any event, even events that aren’t linked to a Salesforce campaign.
  • **Cvent custom fields support for registration flow: **We’ve improved the app to help you keep contact fields in sync between Cvent and Salesforce. Note: Invitations added from Salesforce do not currently support Cvent custom fields.



Version 4.1 Release

We’re excited to announce the release of version 4.1 of the Cvent Salesforce App (previously known as the Cvent Events App for Salesforce)!

What’s new?

Map Cvent attendee fields to Salesforce campaign member custom fields: Keep your Salesforce campaign member records up to date with event-related details. You can now automatically add Cvent attendee data to your campaign member custom fields when members are created from a Cvent event. In the Salesforce app, go to Cvent Admin > Field Mappings to configure the mappings.

Cvent connection status update: Now, if a Cvent token expires, the connection to Cvent is marked as inactive in the app and an error is logged under Cvent logs. This allows you to see the true state of the connection and take any required actions.

**Update to conditions for filters: **Conditions can now have values of up to 4000 characters and the values can include semicolons. Previously, conditions were limited to 255 characters and semicolons acted as a delimiter.

**Debug mode updates: **All workflows in the app can now be tested using the Salesforce debug mode. Just make sure debug mode is turned off after troubleshooting is complete.

**Migration tool: **The new migration tool helps you transfer your data and configurations from the old Cvent Events App for Salesforce (version 3.2.8 and above) to the brand new Cvent Salesforce App (version 4.1).

Note: If you’re using version 4.0, you can easily install the latest version of the app. No manual post-installation steps are required. If you’re using version 3.3 or below, you can use the new migration tool to upgrade to the latest version.

Version 4.0 Release

Welcome to the Cvent Salesforce App 4.0! This release brings a new look and feel to the app while also significantly improving the underlying architecture.

Important: In contrast to previous app updates, this new app requires a fresh installation. It cannot be directly upgraded from any previous app version. This is because the new app is a Salesforce second-generation managed package. The new package comes with many advantages, but Salesforce also currently limits direct migration from the first-generation package.

To help you with the installation, we’re building a tool that will guide you step by step through the migration process from the old app to the new app. This tool is expected to be available in May 2020. Be on the lookout for the announcement!

What’s new?

  1. **Second—generation package: **The second-generation package boasts the latest Salesforce technology along with the benefits of a modern development environment. This means more flexibility in customizing an experience for a specific set of clients without impacting others.

  2. Removed dependency on the Salesforce System Admin user: The Cvent app can now be configured by any user with the Cvent Admin permissions set, not just the Salesforce System Admin.

  3. **OAuth flow: **This flow helps make app configuration completely independent of the Salesforce System Admin user. Using it, a user with permissions such as Customize Application can help authorize the Cvent application to access Force.com resources on their behalf without revealing any credentials. The Cvent Admin user can then retrieve custom fields from Cvent at any time. If you don’t want to set up OAuth, you can always retrieve the custom fields directly from the app as long as you have the required permissions. You don’t need to perform this action if you don’t plan on syncing custom fields from Cvent.

  4. **Independent permission sets: **We’ve introduced new permission sets to provide you with more granular control over the app. Permissions for the invitation, nomination, and registration workflows as well as campaigns management can now be independently assigned to users based on your business needs.

  5. Sync even more data: You can now sync more contact and event fields from Cvent to Salesforce. These include “Registration Type,” membership fields, and event fields such as “Event Type,” “Has Fee,” “Planning Status,” and more.

  6. Syncing data from a past date: Cvent data can now be synced to Salesforce from a past date and time. This enables you to perform the event and contact sync at any time and ensures data consistency between Cvent and Salesforce despite any past sync issues. In addition, you can now configure event and contact syncs independently.

  7. **Filter campaign members before sending invitation: **The new app allows you to filter campaign members by contact, lead, or campaign member fields, giving you the flexibility to target invitations towards a subset of your audience. Please note you can’t individually check or uncheck the campaign members, but you can always apply multiple filters to further narrow down the results. If necessary, you can also send individual invitations from the contact or lead page.

  8. Event-campaign linking: The new app allows you to link the same event with multiple campaigns (and vice versa), helping you ensure your campaigns are run effectively.

  9. **Control event visibility based on user and user group: **You now can simply choose the users or user groups you want to share a set of events with. No more applying filters as in the previous version of the app. It’s that easy!

  10. **Create reports: **Newly created tasks and opportunities now include references to their associated attendees and events. This lets you generate reports combining your attendee data with other Salesforce data, providing insight into the impact of your event.

  11. **Handling of lead—to—contact conversion workflow: **When a lead gets converted to a contact, the attendee records of that lead will now be preserved and accessible under the contact record.

  12. **Salesforce Shield encryption: **The new app is compatible with the Shield—encrypted standard fields.

  13. **Orphan records and error handling: **Cvent error logs are now more insightful, making it easy to resolve basic errors. We’ve also added special handling to clean up orphan attendee records daily so you can more efficiently consume your Salesforce data storage.

Eliminated features:

  1. We have deprecated email status syncing in the new app. In the previous versions, this feature was supported only for the emails initiated from Salesforce. We will handle the email status information holistically in future.

  2. Contact date of birth field can no longer be synced between Cvent and Salesforce since this is a secured field.




Version 3.3 Release

Release Date: Feb 28, 2020

Version 3.3 contains bug fixes to improve the application. It specifically addresses the following issues:

  • In certain scenarios for Version 3.2, a user trigger issue was preventing users from making any changes to the Salesforce user object. This issue has been fixed with Version 3.3.
  • For the classic Salesforce UI, the Invite button is now visible even if you allow users to add to the invitation list but don’t allow them to send invitations from the application.
  • For campaign member status mapping, any change in “Attended” status value for an attendee can now independently update the mapped Campaign member status for that attendee. For the previous packages, it relied on the “Attendee status” update to happen at the same time.



Version 3.2 Release

We are excited to announce the Version 3.2 release of the Events App for Salesforce!

**Add Salesforce campaign members directly to Cvent events: **You can now easily add campaign members to any linked Cvent event. To do this, simply add them to an invitation list or send them an invitation email.

**New “Attended” field for attendees: **You can now track the participation of your attendees by using the new “Attended” field. The field value for each attendee is “Yes,” “No,” or blank (which simply means that the event’s attendance data has not yet been updated).

**Improved error-logging with an option to purge: **An all-new, more informative error logging mechanism is now available for easier troubleshooting within the app. You also have an option to purge the error logs to save storage space.

**Sync data to Salesforce app without affecting your contacts and leads: **We’ve added more ways to sync Cvent attendee data without updating corresponding Salesforce contacts and leads. There’s a new option in “Single Match” and “Multiple Match” settings to only update the matched attendee record. Under “No Match” settings, there’s now an option to take “No Action.”

**Option to deactivate connection with Cvent: **You can now choose to disable your Salesforce app’s connection with Cvent accounts on the app’s configuration page. (You can also always turn it back on from the same place.)




Version 3.1 Release

  • **Data-only connector:**With the data-only connector, you can use the app to add your Salesforce contacts and leads to invitation lists, automate task and opportunity creation, and sync contacts and leads to campaigns. Data is synced between Cvent and Salesforce to ensure that attendees’ statuses are updated.
  • **Customized nomination process:**The nomination process is now customizable, allowing you to assign nomination requests based on event, contact, lead, or user fields.
  • **Approve or reject nomination requests in bulk:**Approvers can now approve or reject multiple nomination requests at once, allowing for an easier, one-click experience.
  • **Add comments before submitting nomination requests:**Sales users can now add comments before submitting nomination requests, providing approvers with more information and context.
  • **View admission item and amount-related fields in Salesforce attendee records:**You can now track the admission item, amount due, amount paid, and amount ordered for attendee records in Salesforce.



Version 2.1 Release

We are excited to announce the release of Version 2.1 of the Events App for Salesforce!

  • Attendee Email Status Sync is now a part of Attendee Status Sync: Attendee Email Status Sync has been combined with the Attendee Status Sync. This means invitation email statuses is synced to Salesforce anytime the Attendee Data Sync button is clicked or when the Contact data refresh is performed. This also means that you can now configure the frequency with which the attendee’s invitation email statuses are synced (previously, email statuses would only sync every 10 minutes).
  • Event date/time fields are separated into individual date and time fields: Event date/time fields (Archive Date & Time, Start Date & Time, End Date & Time, and Registration Deadline) have been split into two fields each, one for the date and one for the time (ex: Archive Date and Archive Time). This allows you to have more flexibility when configuring various aspects of the app, such as visibility.
  • Minor bug fixes.



Version 2.0 Release

We’re excited to announce the launch of the Cvent Events App for Salesforce Phase 2! Phase 2 brings a number of new enhancements designed to help automate your processes and bring more flexibility to existing features.

  • Link Cvent events with Salesforce campaigns: In Salesforce, you can now have Cvent event attendees automatically added to your campaigns! Choose the exact mapping between attendee and campaign member statuses and attendees will flow directly into your campaign when they reach a certain status.
  • Automatically create tasks and opportunities: Automate task and opportunity creation based on event and attendee criteria. For example, you can have tasks created for your sales users when contacts and leads register for or attend an event. You can also have opportunities created for your new prospects using similar criteria!
  • **Control invitation email sending in Salesforce: **Do your event’s invitation emails go out at scheduled intervals? Do you not want sales users sending one-off invitations? You can now configure your event so that any contacts or leads invited from the app are just added to invitation lists (as opposed to being sent invitation emails).
  • Modify registrations: Coming directly from Salesforce, sales users can now reach the event website to modify or cancel registrations for attendees. The email address and confirmation number of attendees are available in Salesforce as well, making it an easy and frictionless experience for sales users.
  • Show sales users as senders of invitation emails: Sales users can now have their name and email address used in the From fields of the invitation emails they send to their contacts and leads. This makes the emails more personal and recognizable.
  • Track event participation: Curious to know who attended your event? We are now syncing over the “Participated” field to Salesforce so your users will know exactly who attended and who was a no-show.
  • Assign user group as a nomination approver: Instead of just selecting single users to approve nomination requests, you can now select a user group. This also offers the flexibility for you to require approval from all users in the group or just one of them.

The Cvent Events App for Salesforce gives your sales and relationship management staff the power to interact with events in Cvent. Using the app, staff can invite, register, and nominate contacts and leads for events directly from Salesforce. As your customers and prospects open emails, visit the event website, and complete registration, the app updates their status in Salesforce.

This direct connection between systems provides you better insight into the health of an event, how your invitees are interacting with the event, and your overall return on the event as well.
